NuvoPulse is operated by Nuvo Innovations and is designed to minimize the account data we collect. To create a standard NuvoPulse account, we require an email address and display name. We do not require a legal name, government-issued ID, date of birth, or home address to create a standard account. This Privacy Policy explains what limited information we collect, how we use it, who may receive it, how we protect and retain it, and how you can exercise your privacy rights, including any rights that may apply under your local law.

1. Information we collect

Account and profile data

We collect limited information needed to create and manage accounts, such as email address, display name, authentication identifiers, preferred language, workspace membership, invitation status, and account security events. Your display name can be a nickname, first name, business name, or other label; we do not require a legal name for standard account creation. Even with this limited model, email addresses and display names may still be personal information because they can identify a person.

Information we do not normally require

For standard account creation, we do not ask for a government ID, legal name, date of birth, home address, or full payment card number. Additional information may be processed if you choose a paid plan, contact support, submit an abuse report, or provide billing or tax details, but it should be limited to what is reasonably needed to provide the Service, manage billing, handle the request, or meet legal obligations.

Workspace and session data

When you create, host, or join a session, we may store data such as workspace identifiers, activity titles, slide content, quiz banks, survey settings, session codes, session roles, responses, comments, questions, votes, decisions, action items, attendance status, timestamps, and live presentation activity. The amount of personal information depends heavily on what workspace owners, presenters, and participants choose to include in activities and responses.

Media and imported content

If your plan allows it, we may store uploaded images, file names, image metadata, quiz imports, survey content, and other materials that you add to your activities or workspace library. NuvoPulse does not ask users to upload personal images by default, but uploaded images may contain personal data, confidential information, copyrighted material, or information about other people. Uploaders should only add media they are allowed to use.

Billing and transaction data

If a workspace uses paid features, our payment provider may process billing contact details, subscription status, invoices, Canadian tax information, payment method metadata, and transaction records. NuvoPulse does not store full card numbers on its own servers.

Device, usage, and support data

We may collect technical data such as IP address, device and browser information, locale, pages or features used, error logs, security logs, support messages, abuse reports, and diagnostic events needed to operate and protect the Service. If you contact support, you may choose what name or context to provide; please avoid sending sensitive information unless it is needed to resolve the request.

2. How we use data

Operating the service

We use data to authenticate users, manage workspaces, synchronize live sessions, display slides and results, store and serve uploaded media, collect responses, generate exports, enforce plan limits, send service notices, provide support, and maintain billing workflows.

Data minimization

We try to limit account and support information to what is reasonably necessary. Workspace owners and presenters should also avoid asking for sensitive personal information in questions, surveys, comments, or uploaded images unless they have the required notices, permissions, lawful basis, and safeguards.

Security and abuse prevention

We use certain data to detect misuse, investigate reports, protect accounts, prevent fraud, troubleshoot errors, enforce rate limits, scan or restrict uploads for security and abuse prevention, preserve evidence of abuse, and keep NuvoPulse reliable and secure.

Product improvement

We may use aggregated, de-identified, or privacy-preserving usage information to understand feature performance, improve onboarding, fix bugs, and make the Service easier to use. We do not sell personal data to data brokers or third-party ad networks.

4. Workspace roles and participant data

Workspace owner responsibilities

Workspace owners and presenters decide what activities to create, what images or media to upload, what questions to ask, who to invite, whether responses are anonymous, and how results are used. In many situations, the workspace owner is the organization responsible for the session content, uploaded media, and participant response data.

NuvoPulse as service provider

When we process participant responses, uploaded content, and workspace materials on behalf of a workspace, we generally act as a service provider or processor for that workspace, while also acting as a controller for our own account, billing, security, analytics, and support operations.

Sensitive information

NuvoPulse is not designed to be a system of record for sensitive personal data, health data, government identifiers, financial account numbers, student records, children’s data, or other regulated information. Do not collect or upload that information through NuvoPulse unless you have a lawful basis, appropriate notices, permissions, safeguards, and any required agreements in place.

5. Data retention

Workspace and session data

Activities, sessions, and results remain available until they are deleted by the user, removed with the workspace, or retained longer for legal, billing, tax, security, backup, dispute, or technical reasons.

Media

Uploaded images and similar media remain available while they are kept in the workspace, subject to storage limits, plan rules, user deletion, and applicable removal rules. We may remove or disable access to media that appears to violate law, third-party rights, security rules, or these Terms. Deleted media may remain in backups for a limited period before routine deletion.

Support and audit data

We may keep technical logs, abuse reports, support messages, billing records, and security events for a reasonable period in order to resolve incidents, comply with legal obligations, enforce agreements, and protect the platform.

6. Sharing, processors, and transfers

Essential providers

We may share limited data with providers necessary to run NuvoPulse, such as authentication and database hosting, payment processing, cloud storage, email delivery, analytics, error monitoring, customer support, security, and infrastructure providers. For uploaded images and related media, we currently use Cloudflare R2 object storage, and Cloudflare may process personal data as a processor or sub-processor where applicable.

Payments and billing

Payment information is handled by Stripe or another designated payment provider. Their processing of payment details may be governed by their own terms and privacy notices, while NuvoPulse receives only the billing information needed to manage the workspace subscription.

International transfers

NuvoPulse is operated from Canada and may use providers in Canada, the United States, the EU, or other countries. Where European data protection rules require transfer safeguards, we rely on appropriate mechanisms such as adequacy decisions, standard contractual clauses, data processing agreements, and technical and organizational safeguards.

Legal and safety disclosures

We may disclose information when we believe it is necessary to comply with law, respond to lawful requests, enforce our terms, protect the rights and safety of users or the public, investigate abuse, or defend legal claims.

7. Cookies and similar technologies

Essential cookies

We may use essential cookies, local storage, and similar technologies to keep users signed in, remember preferences, maintain session state, prevent fraud, and secure the Service.

Optional technologies

If we use optional analytics, marketing, or personalization technologies that require consent in your region, we will provide the relevant notice and controls through the product or a cookie preference mechanism.

8. Your privacy rights

Access, correction, deletion, and portability

Depending on your location and role, you may request access to personal data, correction of inaccurate data, deletion, restriction, objection, portability, or a copy of certain data. Some requests may need to be handled by the workspace owner if they control the relevant session or participant data.

European privacy rights

If the GDPR, UK GDPR, or similar law applies, you may also have the right to object to certain processing, withdraw consent, restrict processing, receive information about processing, and lodge a complaint with your local data protection authority.

Verifying and responding to requests

We may need to verify your identity, workspace role, or authority before responding. We may decline or limit a request where permitted by law, such as when data must be retained for security, billing, legal, backup, or legitimate business reasons.

If your request relates to a workspace run by your employer, school, event organizer, or another organization, you may also need to contact that workspace owner directly. Please do not include sensitive personal information in your request unless it is necessary for us to identify and resolve the issue.
